Follow-ups & tasks
Your day plan — every task you owe a lead, overdue first, plus reminders and the calendar view.
Follow-ups & tasks
Deals are won or lost in follow-up. The Follow-ups page is your day plan: every open task, sorted by due date, overdue first. A task can also be created automatically (by automations, by AI SDR agents, or by appointment reminders) and by hand from any lead.
Who this is for
-
Sales agents — start every day here. If it is on this list, somebody is waiting.
-
Managers — see who is behind on commitments (filter by team member).
-
Difficulty: Easy
-
Time: 8 minutes
-
Prerequisites: None to view. Creating tasks is available to all sales roles.
Steps
1. Open your day plan
- In the sidebar open Follow-ups (
/admin/follow-ups).
Expected result: the list of open tasks appears, sorted by due time. Overdue tasks are shown in red with an overdue note. The menu badge shows how many tasks are due by the end of today.
2. Read a task row
Each row shows:
- The lead (click the name to open Lead 360) and their phone.
- The task title (what you committed to do).
- The assignee and the due time.
- A priority badge: urgent (red), high (orange), normal (blue), low (grey).
3. Work a task
- Do the work (call, WhatsApp, email).
- Click Complete on the row and confirm.
- If you promised a next step, create the follow-up task immediately (see below) — do not rely on memory.
Expected result: the task leaves the open list and the completion is recorded on the lead's timeline. Completing a task also earns points on the lead's score.
The row's WhatsApp action opens a template picker and starts the chat (details); Open lead jumps to the full record.
4. Create a follow-up
- Click New follow-up (header button).
- Choose the lead (searchable — the picker lists your recent leads), write the title, set the due date/time (defaults to tomorrow 10:00), assign it (defaults to you), and pick a priority.
- Save.
Expected result: the task appears on the list and notifies the assignee, who also receives a reminder before it is due.
One task per promise Create the task the moment you make the promise, not at the end of the day. The reminder engine runs every few minutes and emails/notifies the assignee while the task is open.
5. Filter to what matters
- Open Filters and choose a window: Overdue, Today, Upcoming or No date.
- Optionally filter by assigned user (managers: pick a teammate to review their load).
Expected result: the list narrows to exactly that slice.
6. See follow-ups on a calendar
- Open Follow-ups → Calendar (
/admin/calendar). - Switch the view: Week, Month or Next 30 days. Filter by team member or status (pending / completed / overdue).
Expected result: every task with a due time appears on the calendar, colour-coded: completed green, overdue red, urgent red, high orange, low grey, normal indigo. Click an event to jump to the lead.
Calendar availability The calendar is a plan feature. If you do not see Calendar in the menu, it is not included in your plan — ask your platform admin.
Expected result
Nothing you promised a lead is forgotten: every commitment is a task, every task has an owner and a time, and the list orders itself so the most overdue work stares at you first.
Common mistakes
- Marking complete without doing the work. Completion is recorded; honesty beats a clean list. If the lead asked to be called later, reschedule the task instead.
- Tasks with no date. They fall into No date and never surface on the calendar. Always set a due time.
- Assigning everything to one person. Filter by assignee and rebalance; overdue counts are visible per person.
- Using notes instead of tasks for commitments. Notes do not remind anyone. A promise = a task.
Troubleshooting
| Symptom | Fix |
|---|---|
| Badge count does not match the list | The badge counts tasks due by end of day; the list shows everything open. Filter to Today to compare. |
| No reminder arrived | Reminders are delivered by the scheduler (tasks:send-reminders, every 5 minutes) — check Cron & queue workers and Notifications. |
| A task disappeared | Someone completed it. Look on the lead's timeline under Lead 360. |
| Calendar shows nothing | Tasks need a due date; also check the status filter (pending vs completed). |
